Consumer Health Data Privacy Notice (Washington)
Effective Date: February 23, 2026
This Consumer Health Data Privacy Notice applies to Washington residents and is intended to meet the requirements of Washington’s My Health My Data Act (“MHMDA”). It supplements (and does not replace) our general Privacy Policy.

1) What is “Consumer Health Data” under this notice?
“Consumer Health Data” is personal information that is linked or reasonably linkable to you and that identifies your past, present, or future physical or mental health status. Under the MHMDA, this can include information about health conditions, treatment, tests, medications, and health insurance/claims information when it reveals or relates to health status.

2) Consumer Health Data we collect
We collect only the Consumer Health Data you choose to provide to us through our Site or when communicating with us, which may include:

Insurance and claims information (for example: insurer name, plan information, claim numbers, denial reasons, amounts billed/paid, cost-sharing details).

Health care services and treatment information that may appear in the materials you provide (for example: dates of service, provider/facility names, procedure codes, diagnosis codes, test names, and related billing details shown on an Explanation of Benefits (EOB), denial letter, or itemized bill).

Other health-related context you provide that helps us draft appeal materials (for example: a description of why you believe a charge or denial is incorrect).
We do not intentionally collect: precise geolocation data, biometric identifiers, genetic data, or information from wearable devices.

3) Sources of Consumer Health Data
We collect Consumer Health Data from:

You, directly, when you complete forms on our Site or send us emails/messages.

Documents you upload or provide, such as EOBs, denial letters, bills, or correspondence you received from an insurer or provider.
We do not purchase Consumer Health Data from data brokers.

4) Why we collect and use Consumer Health Data
We collect and use Consumer Health Data to:

Provide the services you request, including reviewing your materials and drafting appeal packages (letters, supporting documentation checklists, and instructions).

Communicate with you about your request (for example: to request missing details, clarify information, and deliver your appeal materials).

Maintain, secure, and improve our Site and Services, including troubleshooting, fraud prevention, and quality assurance.

Comply with legal obligations and enforce our terms.
We collect and use Consumer Health Data only to the extent reasonably necessary to provide the Services you request, or as otherwise permitted by law.

5) How we share Consumer Health Data
We share Consumer Health Data only in limited circumstances:
A. With service providers (processors)
We use service providers to operate our Site and deliver the Services (for example, hosting, form collection, storage, and email delivery). These providers may process Consumer Health Data on our behalf under instructions consistent with this notice.
B. With your direction
If you ask us to, we may share your appeal package and supporting materials with an insurer or provider on your behalf. Otherwise, our default is to provide the appeal package to you to submit.
C. For legal and safety reasons
We may disclose information if we believe it is necessary to comply with law, respond to lawful requests, protect rights and safety, or prevent fraud.
D. Business transfers
If we are involved in a merger, acquisition, financing, reorganization, or sale of assets, Consumer Health Data may be transferred as part of that transaction.

6) Categories of third parties and specific third parties we share with
Depending on how you use our Services, we may share Consumer Health Data with:

Vendors that provide website hosting and form collection (e.g., Wix)

Email and communications providers used to send you your appeal materials

Cloud storage and productivity tools used to compile your appeal package (if applicable)

Insurers and/or providers, but only if you direct us to send materials on your behalf
We do not sell Consumer Health Data.
We do not share Consumer Health Data with third parties for targeted advertising.

7) Your rights under Washington law
If you are a Washington resident, you may have the right to:

Confirm whether we collect, share, or sell your Consumer Health Data.

Access your Consumer Health Data.

Delete your Consumer Health Data.

Withdraw consent for our collection and sharing of your Consumer Health Data (when our processing is based on consent).

How to submit a request
Email us at hello@claimantinc.com with the subject line “WA Consumer Health Data Request” and tell us what you want to do (access, delete, withdraw consent, etc.). We may ask you for information to verify your identity before we respond.

What happens if you withdraw consent
If you withdraw consent, we may not be able to provide the Services you requested (because we need the information to draft your appeal materials). We will tell you what that means in your specific case.

8) Data retention
We keep Consumer Health Data only as long as reasonably necessary to:

provide the Services you requested,

maintain business records,
-
resolve disputes,
-
comply with legal obligations, and
-
protect the security and integrity of our Services.
When we no longer need the data, we take steps to delete it or de-identify it.

9) Security
We maintain reasonable administrative, technical, and organizational safeguards designed to protect Consumer Health Data. However, no system can be guaranteed 100% secure. Because we may deliver appeal materials by email, please understand that email may not be fully secure depending on your provider and settings.

10) Changes to this notice
We may update this Consumer Health Data Privacy Notice from time to time. If we make material changes, we will update the Effective Date and post the updated notice on this page.
